Module 3
Purchasing & Payables
Know what you're committing to spend — before you spend it.
Our Perspective
In most businesses, spend is controlled after the money's gone, not before. Invoices arrive that no one quite remembers approving, the same stock gets ordered twice, and finance only learns the true commitment when the bill lands. That isn't a discipline problem — it's a visibility problem, and it's exactly where margin quietly disappears. Business Central moves the control to the front of the process, putting approvals, matching and live committed spend into the buying itself, so you decide what you're spending while you can still change your mind.
Purchasing & Payables manages the full procure-to-pay cycle: requisitions, purchase orders, goods receipt, vendor invoices, returns and payments. It gives operations and finance a single, controlled view of what's on order, what's arrived and what's owed, so spending is deliberate rather than discovered after the fact. For any business where buying well is what protects the margin, this is where that discipline lives.
What you can do
- Control the buy: Raise purchase orders, receive against them and match vendor invoices to order and receipt before a single payment goes out the door.
- Automate replenishment: Let the system suggest what to reorder and when, based on demand, sales orders, lead times and stock already on hand — so you neither run out nor over-buy.
- Approve with rules: Route purchase requests and invoices through digital approval rules, so spending stays inside policy and authority limits without anyone chasing paper.
- Cut invoice handling: Capture and code incoming vendor invoices with AI-assisted document capture, cutting keystrokes, keying errors and the time invoices sit in someone's inbox.
Inside Business Central
You manage Purchase Quotes, Orders, Blanket Orders, Invoices, Return Orders and Credit Memos, with the Requisition and Planning Worksheets turning demand into suggested orders you can carry out with a click. Item Charges allocate freight, duty and handling into true landed cost. The Vendor Card holds terms, dimensions and the Vendor Ledger; the Payment Journal suggests vendor payments and produces remittance advice and bank files. Three-way matching ties order, receipt and invoice together, while approval Workflows enforce authority limits. Aged Accounts Payable, vendor statements and Power Automate-driven document capture round out the picture.
The business impact
- Eliminate maverick spend and surprise invoices with approvals and three-way matching built into the workflow, not bolted on after.
- Pay suppliers on time to protect those relationships, avoid late fees and capture early-payment discounts.
- See committed spend in real time, so cash-flow planning reflects what's actually on order, not just what's been invoiced.
- Reduce the cost, delay and risk of manual invoice processing across the whole accounts payable team.
Works with
Purchasing draws directly on the Inventory and Financial Management modules for live stock and ledger data, so a receipt updates availability and a posted invoice updates the books at once. Add OCR or e-invoicing extensions from AppSource to digitise supplier documents, and connect a supply-chain or logistics add-on when you need tighter vendor scheduling, landed-cost tracking and inbound visibility.
DIY-ERP Implementation
Approval limits, matching rules, requisition planning and vendor setup are configured inside Business Central by the DIY-ERP toolkit and learned by your Super User along the way. You set the scope, we commit to a fixed price and a guaranteed go-live date, and you walk away running your own procurement controls — not waiting on a support contract every time a rule needs to change.
Next step: Send us a typical purchasing month, and we'll map where approvals, matching and automation would save you the most time and money.
